Roles and Responsibilities of Senior Staff

Overview

Senior Staff includes three posts in the institution, which are:

  • Principal
  • Vice Principal
  • Coordinator

Role and responsibilities for this staff are well defined in the SOPs written for the institution.

1- Principal:

He / she will be responsible for all matters pertaining to academics, administration, and discipline of the AST.  In addition, he will be responsible to: –

  1. Ensure quality of education and other facilities for the students.
  2. Arrange preparation of proper time-table as per syllabus and issue to the concerned Section Head/Teachers for implementation.
  3. Planning refresher courses for teaching staff of the AST.
  4. Plan and organize annual sports and co-curricular activities.
  5. Ensure attendance of the teaching / administrative staff of the AST.
  6. To have a close liaison with other Schools / heads of educational institutes.
  7. Submission of Exam application of students to FBISE Islamabad in time.
  8. Ensure purchase of required equipment for the AST whenever required.
  9. Preparation of consolidated annual recurring and non-recurring expenditures and over timely submission.
  10. To report immediately to Chairman and General Secretary of AST in case of any incident occurring in the Trust.
  11. Ensure proper maintenance of AST record and to provide the required information to the Chairman related to the AST / students.
  12. Grant leave to the AST staff with the approval of Chairman..
  13. Appoint committees of the following in the AST with consultation / approval of Chairman:
  • Literary Committee
  • Curriculum Committee
  • Admission Committee
  • Examination Committee
  • Sports Committee
  • Discipline Committee
  • Purchasing Committee
  • Proctorial / Student Councilling Committee
  • Ambient Committee

 

  1. Any other responsibility assigned by the Chairman or by the Members of the Governing Body of the Trust.
  2. To recommend the welfare / discipline cases of the staff through General Secretary to Vice Chairman to obtain final decision of the competent authority.
  3. Perform duties with honesty, dedication and commitment for the sacred cause of grooming the students as per AST Motto.
  4. Expected to display very high standard of conduct and behavior while being respectful and cooperative team member.
  5. Truthfulness, honesty and sincerity will be the hallmark of Principal’s personal conduct while at AST.
  6. Provide strategic directions for open ended statements and attain implementation for the desired objects with consultation / approval of Chairman.
  7. Syllabus breakup (What to include or exclude).
  8. Coordinate the different schools.
  9. Critical monitoring of daily activity planner.
  10. Timely conduct of exams in AST of all classes.
  11. Over all discipline response of teaching staff / students.
  12. Prepare next year activity plan.
  13. Critical monitoring of syllabus revisionary plan.
  14. Monitoring / control on committees’ performance as per directives.
  15. Submission of annual confidential report of all teaching faculty to General Secretary AST for further process.
  16. After recommendation, submit the report of probation period of teaching staff to Vice Chairman AST for further process.
  17. Ensure timely completion of syllabus in every class.
  18. Organize separate classes for weak students with the consultation of teachers / Section Heads.
  19. Keep check / liaisons with Federal Government regarding changes & Government educational policies.
  20. Ensure admission policy be followed according to SOP.
  21. To update Chairman on monthly basis regarding overall performance of the AST.
  22. Detail supervisor and ensure other necessary arrangement to facilitate / conduct delegation visits.
  23. He / she will responsible for purchase of Books, Copies and stationary items alongwith Admin Staff and supervisor after approval from BoG of AST.
  24. To ensure not use of mobile by teaching staff during school timing.
  25. Ensure proper utilization of AST funds according to approval.

2-Vice Principal:

Will be under study to the Principal and will perform the following duties: –

    1. Assist the Principal in all academic matters of the AST.
    2. Ensure a proper execution of the syllabus break-up in consultation with Section Heads.
    3. Responsible in formulating the time table for the classes.
    4. Ensure the arrangement of classes, quality teaching and assessment standards.
    5. To hold fortnightly meeting with Section Heads to track the progress of the syllabus and other educational activities and submit a report to the Principal.
    6. Responsible for regular conduction of subject coordination meeting.
    7. Ensure timely and efficient conduction of students’ admission tests.
    8. To oversee the management of Co-curricular activities like educational trips, motivational lectures by guest speakers, Debate competitions, quizzes etc.
    9. To oversee the management of Extra-curricular activities like excursion trips, movies (learning stories) for students, dramatics competition, sports gala, fun fairs etc.
    10. Organize Parents Teachers Meeting on quarterly basis.
    11. To deal with the parents for admission and other academics related queries.
    12. Report academics feedback through students’ interactions to the Principal.
    13. Practical counseling and guidance to the teachers regarding students’ problems and their professional development.
    14. Act as a disciplinarian to ensure that all AST rules and procedures are being followed by students and other staff alike.
    15. Regular monitoring of the teachers performance.
    16. To perform any other duty assigned by the Principal from time to time.
    17. Perform, observe and conform to such duties and instructions as assigned by the institution to attend staff meetings, teacher training programmes and other official functions.

    21. To ensure that all cases of leave and short leave are forwarded to the
    22. To ensure that all teachers and staff put up their leave application well in time to the Principal for approval.
    23. To examine the performance of the following committees whenever appointed: –
  • Ambient Committee
  • Literary Committee
  • Curriculum Committee
  • Admission Committee
  • Discipline Committee
  • Proctorial / Student Counseling Committee

3- Coordinator/Controller of Examination:

Will be responsible to the Principal for all matters pertaining to sections with the particulars to:-

  1. Ensure smooth and efficient running of sections administratively and academically.
  2. Ensure that all teachers complete the syllabi of their respective subjects/ classes in stipulate /scheduled time frame.
  3. Will intimate the all disciplinary cases to the Principal.
  4. Ensure that morning assembly (with the help of Section Head) is regularly held and all classes are given equal opportunity to make suitable presentations of short duration under the guidance of class teacher.
  5. Ensure that time table of various classes is accurately prepared and properly implemented.
  6. Ensure punctuality of teachers in the classes. In case of leave or absence of any teacher’s alternate will be marked well in time.
  7. Ensure regular writing and submission of Lesson plans to the Principal as per instruction.
  8. Ensure maintenance of a separate short leave register.
  9. Ensure that Parent Teacher Meetings are regularly held.
  10. Ensure that all teachers enter their arrival and departure time in the teacher’s attendance register accurately.
  11. Ensure Assessments/Terminal Exams/Checkpoint Tests are held properly.
  12. Arrange Teacher’s training workshops for their grooming.
  13. Ensure secrecy and safe custody of exam papers.
  14. Conduct admission tests and preparation of their results.
  15. Conduct interviews of transfer cases students.
  16. Ensure proper implementation of scheduled time table in its true spirit.
  17. Ensure coordination between teaching staff and management.
  18. Ensure submission of date sheet for terminal exams after consulting section Heads.
  19. Organize co-curricular / extra-curricular activities for the students.
  20. will be the supervisor of Examination Committee
  21. The Controller of Examinations shall be responsible for making all the arrangements necessary for holding exams, tests and timely declaration of results.
  22. Prepare academic calendar including examination schedule and their implementation.
  23. The Controller of Examination shall be the in-charge of conducting exams, tests and the declaration of result. He/she shall discharge his functions under the direct superintendence, direction and guidance of the Principal.
  24. Appoint examiners and moderators as prescribed in the rules & regulations.
  25. Arrange the printing of question papers, answer books and their safe custody to the concerned.
  26. Manage proper evaluation and to prepare the result.
  27. Postpone or cancel examination in part or in whole, in the event where such need arises.
  28. Submit report regarding exam (s) to the Principal.
  29. The Controller of Examinations shall exercise such other powers and perform such other duties as may be assigned to her/him, from time to time, by the Principal.
  30. Supervision of library in coordination with the librarian.
  31. Maintaining library discipline as per SOP / Rules.
  32. Arrange different sports events, in accordance calendar of events with the coordination of PTI.
  33. Maintain Computer Lab with the coordination of Lab Assistant.
